As a Parts Coordinator, you will play a crucial role in ensuring the smooth operation of our Parts department, supporting our mechanics, and delivering exceptional service to our customers. Key Responsibilities:
  • Utilize the Sage/ACCPAC system to create and manage work orders in the Service Manager program.
  • Provide accurate estimates and quotes to customers, including service details.
  • Prepare parts requisitions and manage inventory control for mechanics, including shop supplies.
  • Access and utilize Dealer/Manufacturer online portals (Toyota, Bobcat, Genie, etc.) for parts management.
  • Keep work orders up-to-date, frequently reviewing BO reports and WIP lists to ensure timely delivery and invoicing.
  • Collaborate with the Service Manager to coordinate parts requirements for mechanics and job assignments.
  • Receive, sort, and organize incoming parts and supplies, ensuring orderly storage.
  • Research and source parts efficiently.
  • Manage local and vendor-specific parts purchase orders.
  • Process incoming requisitions and distribute parts and supplies for internal and external use.
  • Maintain precise records of orders, quantities, types, and locations of parts and supplies using a computerized inventory system.
  • Expedite customer and service parts orders by maintaining proactive communication with vendors and freight companies.

  • Organized and detail-oriented, with a knack for multitasking in a dynamic environment.
  • Tech-savvy, with proficiency in computer systems and inventory management software.
  • Customer-focused, with a background in customer service, preferably in an industrial or automotive parts department.
  • Mechanically inclined with experience or a strong understanding of parts coordination.
